Background:

This case study focuses on efforts to find participants for a virtual, at-home clinical trial aimed at studying asthma. The trial recruitment took place over a ten-month period and utilized both email and SMS outreach to ClinicalConnection’s database of members interested in asthma clinical trials.

Objective:

This case study's main objective was to engage a substantial number of participants across the United States who met the trial's eligibility criteria in an efficient and timely manner.


Patient Recruitment Campaign:


Outreach Efforts:

The recruitment campaign employed a multi-channel approach, utilizing both email and SMS outreach. 11 email outreaches were sent to a database comprising about 40,000 members per send. SMS messages were also incorporated into the campaign with 2 separate sends, reaching about 25,000 members per send.


Engagement Metrics:

Email and SMS Outreach: Of the emails and SMS sent, 4,456 members expressed interest in the trial and signed up for the study through the partner's online pre-screener, representing over 10% of the contacted members.


Screening Outcomes:

Total Sign Ups: Out of all outreach attempts to the database, 4,456 members signed up for the study through our partner’s online study website.

Contacts Eligible: 1,620 members were deemed eligible for the study following further review.


Medical Record Retrieval:

Medical Record Request Signed: 289 members signed an agreement for our partner to retrieve their medical records to verify that they were eligible for the study.

Medical Records Received: Medical records for 240 members were successfully obtained.

Recruitment Completion:

Consented: 92 members formally consented to participate in the trial.

Randomized: Finally, 32 members were randomized and successfully enrolled in the clinical trial.


Recruitment Challenges:

This trial also allowed for children to participate. Pediatric clinical trial recruitment has proved to be difficult for almost all conditions and indications.

Discussion:

The email and SMS outreach strategy employed in this case study yielded notable results in terms of participant engagement and enrollment for the clinical trial.

With 4,456 members expressing interest and signing up for the study through the partner's online pre-screener, the outreach campaign demonstrated a significant level of effectiveness, accounting for over 10% of the contacted members. This high level of initial engagement underscores the importance of targeted and personalized communication methods in recruiting participants for clinical trials.

Out of the total sign-ups, 1,620 members were deemed eligible for the study after undergoing further review. This step highlights the necessity of thorough screening processes to ensure that enrolled participants meet the necessary criteria for the trial.

A crucial aspect of the enrollment process involved obtaining medical records from interested participants to verify their eligibility. While 289 members signed agreements for their medical records to be retrieved, successful acquisition was achieved for 240 members. The campaign achieved its primary goal of finding enough participants for our partner to end the recruitment period on time. The effectiveness of the multi-channel approach, particularly utilizing email and SMS outreach, is evident in the high number of sign-ups and successful engagement at various stages of the screening process.
